Hart4Security attaches great importance to the careful handling of personal data. Hart4Security will process your personal data in accordance with the General Data Protection Regulation (Regulation (EU) 2016/679 of the European Parliament and the Council of 27 April 2016).

  • Contact by phone or e-mail;

  • Whether or not via the website, entering into an agreement with Hart4Security regarding the delivery of products, software and/or the provision of services, or your request to enter into such an agreement;

  • Sending a message via the chat module or contact form on our website;

  • Registering for and receiving newsletters and/or exclusive offers.

The personal data that you provide to Hart4Security will only be processed for the purposes for which you have provided them and further as described in this privacy policy.

If you provide personal data to Hart4Security by telephone or e-mail, for example via the contact form or the chat module on the website, these personal data will be processed by Hart4Security to the extent necessary to process your contact request. If you contact Hart4Security by telephone, it is possible for you to leave a voicemail. In that case Hart4Security will receive the call file by e-mail, which will only be used to listen to the voicemail message.

In the context of the performance of an agreement concluded between you and Hart4Security, the personal data provided by you may be shared with third parties involved in the performance of the agreement in question, such as:

  • a transport company to be designated by Hart4Security for the delivery of products to you;

  • third parties to be engaged by Hart4Security for the provision of services agreed with you, such as training and consultancy;

  • manufacturers/suppliers of software for licence registration or registration for trials;

  • an online payment provider if you order and pay for products via the website.

Hart4Security works with a network of partners to whom your personal data can be provided if and to the extent that this is necessary in order for your request for software, products and/or services to be followed up by the partner in question.

If you have now or in the future expressly opted in to receive newsletters and/or exclusive offers, Hart4Security will only process the personal data provided by you in that context in order to be able to send you the requested newsletters and/or offers. You can unsubscribe from further receipt of these messages in the manner indicated in the relevant messages.

If you have once entered into an agreement with Hart4Security, Hart4Security may send you e-mail messages, such as newsletters and/or exclusive offers on Hart4Security products, software and services, etc., without prior consent, provided that these messages relate predominantly to products, software or services previously purchased by you from Hart4Security. You may also unsubscribe from further receipt of such messages in the manner indicated in the messages concerned.

The above processing of personal data is permitted by law on the grounds that you have given your implicit or explicit permission for this, or on the grounds that the processing is necessary to fulfil an agreement entered into between you and Hart4Security or your request to enter into such an agreement. In certain other cases Hart4Security may also process your personal data with your explicit prior consent.

In addition, Hart4Security processes personal data if and insofar as this is necessary pursuant to a statutory provision and on the so-called legal basis of "legitimate interests". Justified interests include the detection of (attempted) unlawful and/or punishable conduct directed against Hart4Security or third parties, for example in connection with the use of the website. Legitimate interests also include the processing (including storage) of your personal data by Hart4Security's hosting provider in order to operate Hart4Security's website and e-mail facilities, the operator of the chat software used by Hart4Security to enable the relevant messaging function and the sharing of your personal data with an accounting firm in order to take care of Hart4Security's administration and bookkeeping. In that context Hart4Security also makes use of an accounting/administration program of a third party; this party receives personal data by means of the accounting/administration program in an automated manner insofar as this is necessary in the context of the administration and bookkeeping of Hart4Security. Hart4Security also works together with an external web designer who, insofar as necessary or unavoidable, may gain access to the personal data you have provided via the website.

There is also a legitimate interest in the processing by Hart4Security of personal data that does not originate from the person concerned. This is the case when Hart4Security concludes an agreement with you or deals with a request for the conclusion of such an agreement, whether or not via an automated sales channel of a third party. When using external automated sales channels, Hart4Security and the external party in question make use of software with an API link (Application Programming Interface).

Hart4Security stores your personal data within the European Economic Area ("EEA"). However, it is possible that certain personal data collected by Hart4Security may be transferred to or stored outside the EEA because an external service provider, manufacturer or supplier of Hart4Security is located there. For example, Hart4Security may not be able to prevent certain manufacturers and suppliers outside the EEA from having access to your personal data to the extent and for as long as this is necessary to support the operability of the website, the sales and marketing of Hart4Security and/or technical support with respect to the use of software. The basis for processing your personal data in this context also concerns a legitimate interest. If personal data is provided to parties outside the EEA, Hart4Security will ensure that the processing of your personal data takes place in a safe and lawful manner outside the EEA. Hart4Security will therefore take the necessary steps to guarantee that your personal data is sufficiently protected.
In all cases only authorised Hart4Security employees will have access to your personal data and only to the extent necessary to perform the tasks assigned to them. This also applies with regard to third parties to whom Hart4Security provides or provides access to personal data as described above. Hart4Security will under no circumstances sell your personal data. The persons under the responsibility of Hart4Security, as well as third parties engaged by Hart4Security are obliged to respect the confidentiality of your personal data. In so far as Hart4Security outsources the processing of personal data to a third party, Hart4Security will take the necessary steps to guarantee that your personal data is sufficiently protected. Such steps include, if and to the extent required by law, the use of a processor agreement with such recipients to ensure that they take the same or similar technical and organisational measures as Hart4Security, so that your personal data are adequately protected.
Your rights

You have the right to request Hart4Security to inspect, delete and rectify your personal data as well as to restrict the processing of your personal data. You also have the right to object to the processing and the right to data transfer. This means that you can submit a request to Hart4Security to send your personal data processed by Hart4Security in a computer file to you or an organisation named by you.
Insofar as the processing of personal data is based on the consent obtained from you, you have the right to revoke that consent at any time, without this affecting the lawfulness of the processing based on the consent prior to revocation.
You have the right to lodge a complaint with the Personal Data Authority or, if you reside or are established in a country other than the Netherlands, the supervisory authority there.

Retention of personal data

Personal data will only be stored by Hart4Security for as long as this is necessary in view of the purposes for which they were obtained. Hart4Security implements appropriate technical and organizational measures to protect personal data against loss and against any form of unlawful processing. Taking into account the state of the art and the costs of implementation, these measures guarantee an appropriate level of security in view of the risks involved in the processing and the nature of the personal data to be protected. The measures shall also aim at preventing unnecessary processing of personal data.

Hart4Security will be happy to help you if you have questions or complaints about the processing of your personal data by Hart4Security or if you want to change or remove your personal data.
